The responsibilities of the Project Manager include managing the day-to-day activities in the Program Management Office (PMO), providing guidance on PMO policies and processes, overseeing best practices of project management staff, and collaborating with other department leaders to develop projects and programs. The Project Manager also ensures that all team members uphold the company's standards throughout each project’s development and execution.

The Project Manager will also be responsible for the day-to-day oversight and coordination of end-to-end project management of the Global Visioneering (GV) process within XPRIZE, including Fundraising, Braintrust coordination, Content Creation and Marketing, IT, Portal creation, and events and workshops. While the details of each part of the process may be managed by their respective departments, the success of Global Visioneering depends on all pieces coming together in unison. The Project Manager, PMO & GV will be responsible for the overall coordination of all efforts, including, budget, schedule, management of interdependencies, cross functional communication and change management, as well as risk assessment and mitigation strategies.

A successful, top-notch PMO Manager, will demonstrate strong leadership and communication skills, in addition to being well organized and able to work under pressure.

Program Management Office Responsibilities:

  • Evaluate, select, and maintain project & process management tools
  • Develop, distribute and analyze any tool/template staff surveys
  • Author, maintain, and update methods and processes
  • Develop training requirements on methods and processes
  • Evaluate status, needs, and roll out PM methodology best practices
  • Conduct periodic assessment and oversight of use PM methodologies
  • Work with any PM partnership opportunities
  • Assess ongoing PM software for efficiency and implementation
  • Facilitate Lessons Learned Sessions and/or oversight of best practices
  • Manage & maintain Change Process Roll Out
  • Monitor and flag Change Register
  • Facilitate ongoing org working groups
  • Help prioritize change requests
  • Assess Org/Department KPI needs and standardize
  • Draft new and improve existing project management office policies and processes.
  • Continuously evaluate projects to ensure they are meeting company standards, adhering to budgets, and meeting deadlines.
  • Accurately document the PMO best practices

Global Visioneering Responsibilities:

  • Leading planning, development, and communication of project plans
  • Day-to-day tracking and communication with cross-functional points of contact ensuring successful delivery of all event deliverables
  • Coordination and tracking of event requirements, deliverables, and management of timeframes with all relevant stakeholders
  • Coordination with production team to ensure alignment with internal and external stakeholders
  • Identifying issues and roadblocks and problem solving, while accounting for scope, budget, and resource allocation changes
  • Communicating key milestones with stakeholders
  • Lead weekly meetings to ensure coordination of cross-functional points of contact to manage interdependencies
  • Ensure effective time management and prioritization of key tasks
  • Assist Events Lead with Weekly Event meetings with leadership
  • Lead problem solving - identifying issues and roadblocks and accounting for scope, budget, and resource allocation changes

Project Manager, PMO & GV Qualifications:

  • A Project Management Professional (PMP) Certification ideal (complete or in-process)
  • A Bachelor's degree in Business, Administration, or a related field ideal
  • A minimum of 5+ years of Project Management experience
  • A minimum of 1+ year of experience in a supervisory position is ideal
  • Strong leadership skills
  • Good written and verbal communication skills
  • Strong attention to details and technicalities
  • Excellent organizational and technical skills
  • Good interpersonal and multi-tasking skills
